This Company is a large dynamic Law firm located in Dublin Financial District.The firm comprises of 150 members of staff who together bring a fresh mix of professional and practical experience amounting to a combined total of over 150 years of legal & business experience.

Project

This Legal and Debt Collection business were printing and enveloping their mail in house, franking and delivering it to their local Post Office in Dublin. Their mail was taking a week to two weeks to be delivered to their clients as the post office in Dublin were dealing with very high volumes of mail. This Legal and Debt Collection business were ordering and stocking their headed paper and envelopes.

They had no track or traceability of the documents they were sending which was a worry to them. They managed their own return mail manually opening and updating their database with returned letters. Their letters had no barcodes for secure mailing and they had no facility on their letters for clients to make payments online or in post offices through Bill Pay. Their mail process was costing them time, money and hassle. They were paying maintenance contracts for printers, inserting machines and franking machines. Their employee’s time was spent printing and stuffing enveloping where it could be better deployed in chasing debt. They had no proof that a letter had been sent.

Their documents are printed and then enveloped using 2D bar code allowing the documents to be processed quickly and securely.

Hybrid Mail’s in-house developers developed unique software to add a barcode for Payzone for the Legal and Debt Collection businesses debt recovery letters. This enabled their clients to pay at any Payzone Outlet. It also allowed them to make payments in instalments.We provide a return mail service where their undelivered mail is sent to us. We apply a 2D barcode beside the customer address. When returned letters are received, we scan the barcode on to our Hybrid Mail system and Company A can view their returned mail when they log in. Their document is securely shredded on site and this gives the company the option to update their database. All documents are fully tracked and traced online using unique logins for each user.

Mail arriving in by 13.00 is printed, enveloped and posted same day to both the UK and Ireland. By using Monaghan Sorting office there are no delays and documents are sent out same day. Giving them greater efficiency and saving them money as there are no international postal tariffs.

This Legal and Debt Collection companies’ clients can now make payments in An Post offices by bringing along their letter and having their unique bar code scanned immediately crediting their account and improving the cashflow within the business.
